TickOff is built by Outvixe Creative Agency. This policy explains what data we collect, how we use it, and your rights as a user.
1. Information we collect
We may collect account data such as your name and email address when you sign in. We also store productivity data you create inside TickOff, including tasks, notes, habits, focus sessions, settings, reminders and achievements.
If you choose to connect TickOff to Telegram, we store your Telegram chat ID so we can deliver reminders and notifications you've enabled, such as task due-time alerts or TickOff Pro renewal notices. Messages you send to the TickOff bot are processed to carry out your commands, for example creating a task. We do not access your other Telegram messages or contacts.
If you connect Google Calendar or Google Tasks, TickOff reads selected event or task information only to help you create and organise tasks inside the app.
If you add a profile picture, we store it in Firebase Storage. If you use Spaces, the tasks and comments you add there, and your email address, are visible to the other members of that Space.
If you use the weather feature and allow your browser to share your location, your device sends approximate coordinates directly to Open-Meteo and OpenStreetMap (Nominatim) to show local weather and place name. TickOff does not receive or store your location.
When you use the site or app, your device also sends standard technical data, such as your IP address and browser type, to the providers that host and deliver it (see Section 5).
2. How we use your information
- To provide the core TickOff experience.
- To sync your tasks, notes and habits across devices.
- To track habit streaks and completion history you choose to record.
- To import connected Google Calendar or Google Tasks data when enabled.
- To send optional reminders when you configure them, including task due-time alerts and TickOff Pro renewal notices, by in-app notification, Telegram or both.
- To send service emails such as your welcome message, email verification, receipts and account deletion confirmation.
- To send product updates or promotions by email, only if you have opted in.
- To improve reliability, usability and product quality.
3. AI features and data
TickOff includes optional AI features such as the Tickie assistant, AI Voice Input, AI Notes tools, and personalized insights like Best Time of Day and Daily Insight Popups. These features require you to provide your own Gemini API key from Google AI Studio.
Your API key is stored locally in your browser and is not sent to TickOff or Outvixe servers. When you use AI features, relevant text is sent directly from your device to Google’s Gemini API using your own key. When chatting with the Tickie assistant, recent messages from your conversation may also be included so it can follow the thread of what you’re discussing. When using insight features like Best Time of Day or Daily Insight Popups, a summary of your own productivity data (such as task completion patterns or habit activity) is sent so the AI can describe it back to you. TickOff servers do not receive, log or process the AI request or the response. The Tickie conversation itself, meaning your messages and Tickie’s replies (up to the most recent 60), is saved to your TickOff account so it appears on all your devices. You can delete it at any time with Clear history in Tickie, and it is removed when your account is deleted.
Text and any photo you attach are sent to Google, and Google’s own terms and privacy policy apply to how it handles them under your key. Voice input uses your browser’s built-in speech recognition, which may send audio to your browser provider; TickOff does not receive that audio.
4. Google API data
TickOff’s use of information received from Google APIs complies with the Google API Services User Data Policy, including Limited Use requirements. TickOff only reads the data needed for the feature you enabled and does not sell, transfer or use Google data for advertising.
5. Data storage, sharing and security
Your app data is stored using Firebase and Google Cloud infrastructure, which may process data on servers outside Nigeria. We rely on these providers’ security commitments and contractual protections for such transfers. We use reasonable technical safeguards, including account-based access controls, to protect your information, but no online service can guarantee perfect security.
We share data only with the services that help us run TickOff, each for the purpose described: Google (Firebase and Google Cloud for sign-in, database, file storage and backend functions, and Calendar or Tasks if you connect them); Netlify (website hosting, which processes technical data such as your IP address); Paystack (payments; we receive your email, customer reference and subscription status, never your card details); Brevo (email delivery; we send your email address and name to Brevo so it can send service emails, and product or promotional emails only if you opted in); and Telegram (only if you connect it). The app also loads fonts and code libraries from Google Fonts, Cloudflare (cdnjs) and unpkg, which can see your IP address. We do not sell your personal data.
If a data breach is likely to put your rights or freedoms at risk, we will notify the Nigeria Data Protection Commission within 72 hours of becoming aware of it, and we will tell affected users without undue delay.
6. Legal basis, account deletion and data retention
We process your data to provide the service you signed up for, with your consent where you enable optional features (Telegram, Google integrations, AI tools), and for our legitimate interests in keeping TickOff secure and reliable. We keep your data for as long as your account is active.
You can request deletion of your TickOff account at any time from Settings. When you do, your account is placed into a pending deletion state and you are signed out immediately. You have a 30-day grace period to change your mind: if you sign back in during this window, we email a 6-digit code to your account address to confirm it is you, and entering it cancels the deletion and restores full access to your account.
If the 30-day period passes without cancellation, your personal data is permanently deleted, including your tasks, notes, habits, and all other content stored in your account, along with your account record, and we email you to confirm. This cannot be undone once complete. In rare cases where we are required to preserve data for a valid legal reason, deletion of the affected account may be delayed until that requirement no longer applies.
Notes, tasks and habits you delete are kept in a recovery area for 30 days so you can restore them, and are then permanently removed. Habits you archive are kept until you resume or delete them.
When an account is permanently deleted, we also remove your profile picture and your email address from our email provider (Brevo). For a further 30 days (60 days after your request in total) we keep one minimal internal record that the deletion took place, containing your account ID, email address and the request and deletion dates, so we can show that your request was carried out. It is then erased. Payment records held by Paystack follow Paystack’s own retention rules and legal obligations.
Content you add to a Space, such as tasks and comments, is stored in that Space rather than in your personal account. It is not part of the personal data removed with your account, so it stays visible to the Space’s other members for those same 30 days and is then removed. If you created the Space itself, it stays in place for its other members.
7. Additional rights depending on where you are
The rights above apply to every TickOff user regardless of location. If you are located in certain regions, you have additional specific rights under local law, summarised below.
If you are in the UK or European Economic Area: under UK GDPR or EU GDPR, you also have the right to data portability (receiving your data in a portable format), the right to restrict or object to certain processing, the right to withdraw consent at any time where processing is based on consent, and the right to lodge a complaint with your local data protection supervisory authority (in the UK, the Information Commissioner’s Office).
If you are in Nigeria: under the Nigeria Data Protection Act 2023 you have the right to access your personal data, have it corrected or erased, restrict or object to its processing, receive it in a portable format, withdraw consent at any time, and lodge a complaint with the Nigeria Data Protection Commission (NDPC).
If you are a California resident: under the CCPA/CPRA, you have the right to know what personal information we hold about you, the right to correct or delete it, and the right to non-discrimination for exercising these rights. TickOff does not sell or share your personal information for cross-context behavioural advertising, so there is no sale or sharing to opt out of.
You can exercise any of these rights through the Contact page or by emailing support@tickoffapp.com. We will respond without undue delay and within the time limits set by the law that applies to you. The equivalent rights available to every user are described in Section 6 and Section 8 below.
